Help Build the Administrative Backbone of a New Community Foundation
We're recruiting a Fractional Administrative Assistant for a new, locally governed public foundation that funds services for seniors across Northern Michigan, including access to care, mental health, housing, and transportation. The foundation's board is made up entirely of community volunteers, and they need a dependable administrative professional to keep their work organized and moving.
This is a chance to help set things up from the ground up. You'll support the board through its meeting cycle and build the foundation's administrative systems, from filing to document access. The first year will be busier while those systems come together, then settle into a steadier rhythm. It's a good fit for an organized, self-directed professional who wants meaningful, flexible, mostly remote work that supports a cause in the community.
What You'll Be Doing
For each board meeting (2 remain in 2026, then about 4 per year starting in 2027):- Reserve meeting space if needed and send meeting notices and links
- Compile agendas and materials into one packet and send it to board members, with most content provided by the Board President
- Attend meetings in person or remotely, or transcribe minutes from a recording
- Draft minutes, route them to the Board Secretary and Board Chair for review, and finalize them
- Set up and maintain digital and paper filing, including a way for board members to access documents
- Create and analyze availability polls and surveys
- Communicate with board members and set up ad hoc meetings
- Handle board correspondence with outside organizations
- Help choose and subscribe to software the foundation needs
- Send out the conflict of interest and ethics policy and collect signed forms
- Update the board roster
What We're Looking For
Required:- Experience in an administrative or executive assistant role
- Strong Word, Excel, and email skills
- Comfortable with Teams and Zoom
- Experience taking accurate meeting minutes
- Able to work independently and remotely with little oversight
- Discretion with confidential board information
- Experience supporting a board of directors, a nonprofit, or a foundation
- Experience setting up filing systems or shared document access, such as SharePoint, OneDrive, or Google Drive
- Experience with SurveyMonkey or similar survey tools
- Basic website upkeep
Benefits May Include
Benefit eligibility and additional details will be reviewed during the recruiting process.
Why You'll Like This Job
- Flexible, part-time schedule that is mostly planned in advance
- Remote work with very little urgent, last-minute work
- A chance to build systems from scratch and shape how they run
- Meaningful work supporting services for seniors in Northern Michigan
- Direct exposure to a community board and nonprofit governance
- Ongoing work with a predictable meeting cycle
Real Talk
This is a part-time, fractional role, so hours change with the board's calendar, about 12 hours in meeting months and 4 to 8 in the others. The first year will be heavier while the foundation's filing and document systems are built. You'll work with volunteer board members, so independence and good follow-through matter, and you'll handle confidential information with discretion. Minutes need to be accurate and timely. If you like being organized, working on your own, and keeping a group on track, this is a good match.
